More eCashbooks updates to make life easier.
Thanks to all those that saw things from a different angle and made these improvements a reality.
These updates will be active from the 28th February. You don't need to do anything, your system will upgrade automatically.
Duplicate existing invoices and Quotes
For those that provide the same Invoices and quotes to multiple customers. You can now click a button to replicate an existing Invoice or quote and make changes as needed. The Invoice number will index automatically.
Calendar
A Calendar has been added to provide you with basic functionality to do the things that you pick up on whilst working in your cashbook. Just click the date to record your diary entry.
Questions
A centralised "Ask a Question" function has been added to record and receive replies, adding to more timely resolution of any issues.
Cashbook v Accounting
At first glance, this may appear confusing, it's not. If you're unsure, there's no need to do anything, your system will operate the same as before.
To give you an idea of profitability of your business we have introduced "Cash Report" and "Profit Report". For example, if you received a loan of 50,000 and you have entered it as MONEY IN, then your current cash reports will identify that as a receipt. From a Profit and Loss perspective, it can distort your actual business performance. Similar things occur on the MONEY OUT side, such as expensive equipment that you will be using for many years to come.
To assist in some form of clarity we have introduced a TICK system in the column headers. You can easily TICK or CROSS a column to determine whether it should be included in the Cash Report or excluded from the Profit Report. A RED CROSS will ensure that the amounts are not included in the Profit Report. Reports will also have that Cash v Profit functionality, so you can toggle between them. There is nothing you need to do here, the system will always default to a Cash system, if you need to flag a column for exclusion in the Profit Report then simply click the TICK.
A New Report
An Invoice List report has been added to show Invoices and Quoted relative to a date range. Some find this useful to manage their Invoicing and Quotes.
Column Size
Column size will increase when hovering in the data area of a column. An aid to visibility.
Send to Accountant Report
You can now select the Year of the Reports, irrespective of the year you are currently working on. You can also select whether you would like a Yearly report and a quarterly report to be sent. All Accountants Reports are Cash Reports, so all transactions are listed and your accountants can make necessary adjustments as they see fit.
Income and Expense Report
The Income and Expense Report now comes in two versions. A Cash Report and a Profit Report. The default is the Cash Report. This will have no impact unless you have designated some column headers to be excluded from the Profit Report. This also applies to the Dashboard which is available on the home screen.
Manage Invoicing
We have improved the sorting capabilities of the Column Headers in the Managing Invoice area. This will make things clearer for you and enable you to sort the contents easily.
Notes on Invoices and Quotes.
In the current system, the Note you use is retained for the next Invoice or Quote. You can now bring up NOTES used on any recent Invoice or Quote to be included on the current Invoice or Quote.
Money In Columns
You can now add up to three additional MONEY IN Columns. This will be handy if you want to split your Income streams to analyse results. Or If you'd like to record loan funds.
Weekly Summary
We will now be sending you a weekly snapshot of your Cashbook activites, just to keep you on your toes.
Have a Suggestion?
We're always chasing great ideas and improvements that don't over complicate the cashbook. Remember this is not meant to be a full blow Accounting system but rather a system than can track your business without the time and cost of the big players.
That's about all.
